The problem this fixes
Your team can use AI. It just doesn't know your firm.
Your team is trained, but still explains the same background in every new chat.
The answers are generic, because the AI has never seen how your firm does things.
Everyone keeps their own prompts saved somewhere, and nobody shares them.
Your procedures, templates and precedents sit in folders the AI can't reach.
What gets built
Four parts
A knowledge base of your own material
Your procedures, templates, standard letters and guidance, organised so AI answers from them rather than from the internet.
A file structure people and AI can both use
Clear folders and names across your Drive or SharePoint, so things are where you'd expect them to be.
A shared library of prompts and skills
Tested instructions for the jobs you do every week, saved where the whole team can use them.
Agents set up for named, repeated jobs
Set up for specific tasks, with defined inputs and a clear point where a person checks the result.
Built on what you already pay for
Claude, Copilot or Gemini
If your firm already licenses Microsoft Copilot or Google Gemini, I build on that. If you use Claude, I build on Claude. They don't all do the same things equally well, and if the licence you have can't do what you want, I'll tell you before you spend anything.
One job, before and after
An example
A new starter needs to know how your firm onboards a limited company client.
They search old emails, find two versions of the checklist, and ask a partner, who stops what they're doing to explain.
They ask the firm's assistant. It answers from your current procedure, links to the document it used, and flags the step that needs a partner's sign-off. The partner never gets interrupted.
The three to four weeks
How it runs
Jobs and documents
We decide which jobs matter most and gather the documents that describe them.
Files and knowledge base
I organise the files and build the knowledge base.
Prompts and first agents
The prompt library and the first agents, tested with the people who'll use them.
Adjust, train, hand over
Adjustments, a short training session and handover.
What I need from you: someone who knows how the firm works, for about two hours a week, and access to the documents.
Governance carried through
The same rules as before
Everything follows your AI policy. Only approved tools, no client personal data where the policy rules it out, a person checking anything that goes to a client, and a log of what's used. If you haven't done the rollout yet, we start there.
About the team AI rolloutYour documents stay in your systems
Your knowledge base lives in your own Microsoft, Google or Claude account, under your own settings. People see what their existing permissions let them see. Retention and training settings are checked and written down before anything is connected.
What you're left with
After the build
A documented setup, a runbook, a short training video and 30 days of cover. The care plan keeps it up to date as your procedures change, from £150 a month.
Three to four weeks, half on booking and half on go-live. The price depends on team size, how many different roles need their own setup, and how tidy your files are to begin with.
